Freelancer Talent Manager & Project Coordinator (Manage Upwork Talent for Ongoing Projects)
We’re looking for a proactive Talent Manager / Project Coordinator to help us source, vet, and manage freelancers on Upwork. This person will be the bridge between our internal team and a growing network of specialized freelancers (design, marketing, data, proposals, etc.). Your job is to make sure the right talent is in place, projects are assigned, deadlines are hit, and quality is consistent — so our team can stay focused on strategy.
Full Job Description
Our company uses Upwork extensively for technical, creative, and administrative projects. We now want a dedicated professional to manage the entire Upwork workflow: from identifying and onboarding freelancers, to assigning tasks, tracking progress, and ensuring high-quality results.
Responsibilities include:
Act as the primary Upwork manager for our team — you will handle all freelancer sourcing, vetting, hiring, and onboarding.
Build and maintain a bench of vetted freelancers across multiple categories (marketing, data extraction, design, proposals, research, etc.).
Post jobs, review proposals, conduct interviews, run trial projects, and select freelancers.
Coordinate task assignments based on incoming requests from our internal team.
Ensure projects are delivered on-time and on-quality by monitoring freelancers, tracking deadlines, and requesting revisions when needed.
Manage communications between our team and freelancers (you’ll be the point of contact so our team doesn’t have to juggle dozens of freelancers).
Maintain documentation, SOPs, and templates for repeat projects.
Provide weekly reports: active projects, status, performance, and recommended improvements.
Monitor freelancer performance, keep top performers engaged, and replace underperformers.
Help manage budgets, contracts, and rate negotiations with freelancers.
This role is part Talent Manager (sourcing and vetting freelancers) and part Project Manager (assigning and coordinating deliverables).
Skills & Qualifications
Proven experience as a Talent Manager, Freelancer Manager, Vendor Manager, or Project Manager (preferably with Upwork or other freelance marketplaces).
Strong project management skills (prioritization, scheduling, quality assurance).
Skilled in recruiting / talent sourcing — able to identify high-quality freelancers quickly.
Excellent written and verbal communication skills — clear, concise, and professional.
Comfortable using project management tools (Trello, Asana, Monday, ClickUp, etc.).
Ability to evaluate freelancer deliverables (marketing, design, data, admin) and give constructive feedback.
Organized, detail-oriented, and proactive.
Bonus: Background in operations, HR, recruiting, or outsourcing.
Tools / Platforms You Should Know
Upwork platform (posting jobs, managing contracts, tracking work diaries, payments)
Project/task management: Asana, Trello, ClickUp, or similar
Communication: Slack, Zoom, Google Workspace
File sharing: Google Drive, Dropbox
Experience Level
Intermediate to Expert (3+ years managing freelance or remote teams preferred).
Must have direct experience managing freelancers (not just being a freelancer).
